Does Square Appointments Have an AI Receptionist? (And How Phone Deposits Work)
Square's built-in AI voice takes orders, not appointments. Here's what Square publishes, how phone deposits work with Square, and what third-party AI receptionists add.

Does Square Appointments have an AI receptionist? Short answer from Square's own help docs: Square's built-in AI voice feature is for taking orders, not for booking appointments into Square Appointments. Beauty pros who need the phone answered and booked into Square still need a separate AI receptionist (or a person) that connects to Appointments.
What Square's AI voice actually does
Square's Support Center article Take orders with AI powered voice ordering (checked November 6, 2026) says Square AI can:
- Answer calls to your Square business number
- Help customers place orders for immediate pickup
- Send the menu by text and collect online payment before the order processes
- Send orders to POS / Order Manager / Kitchen Display when set up
The same FAQ is explicit about limits. Square AI is trained on ordering-profile items and online-order questions. It is not trained for questions such as business hours, location information, reservations, or specialized orders such as catering.
That is why turning on Square AI voice does not give a barber, braider, nail tech or stylist a phone booking desk for Square Appointments.
What Square Appointments does give you (without phone AI)
Square Appointments is still a full booking system: services, staff, online booking, reminders, and no-show / cancellation tools you configure in Square. Clients who book online can go through your deposit or card-on-file rules. The gap is callers who never open the booking page.
Closing the phone gap: deposits on calls
Phone bookings skip the online policy screen unless you close the gap. Practical options that stay inside Square's payment rails:
- Send your Square booking link and let the client finish the flow (policy + card/deposit included).
- Text a Square payment link for a deposit amount, and only treat the slot as held after it's paid.
- Use an AI receptionist connected to Square that checks live availability, books into Appointments, and texts a deposit link while you're mid-service.
Square publishes a Bookings API so outside apps can create and manage appointments for sellers who use Square Appointments. That is how third-party phone agents book into your calendar instead of inventing a second book.
What to ask any "AI for Square" vendor
- Does it book Square Appointments, or only take messages / send a link?
- Does Square require Appointments Plus or Premium for that app to write bookings? (Many integrators say write access needs a paid Appointments plan—confirm in your Square billing settings and with the vendor.)
- Can it text a Square deposit link on the call?
- Can it move or cancel only bookings it created, or all Square bookings?
- What happens when a caller needs a human (complaint, custom color, bridal consult)?
Where AyoCosmo fits
AyoCosmo answers your shop line for beauty pros on Square, books from your real Square services and openings, and can text a Square deposit link with a short payment window so unpaid holds don't block the chair. It does not replace Square. It covers the phone path Square's order-focused AI voice does not.
The bottom line
Square Appointments does not ship a built-in AI receptionist for appointment booking. Square AI voice is an ordering feature. For phone booking and phone deposits, pair Square with a receptionist—human or AI—that writes into Appointments and collects payment the same way your online flow does.
