Square Appointments No-Show Protection: How to Set It Up (and the Gap It Leaves)
How to set up Square Appointments no-show protection for your salon or barbershop, card on file vs. deposits, and how to protect phone and text bookings too.

Square Appointments has a no-show protection setting, and a lot of barbers, stylists, nail techs and lash artists turn it on and assume the problem is solved. It helps. But it doesn't protect every booking, and knowing where it stops is what keeps your chair full.
Here's how to set it up, what it actually covers and how to close the gaps it leaves.
What Square's no-show protection does
In Square Appointments you can set a cancellation policy and require clients to save a card when they book online. If a client cancels too late or doesn't show, you can charge the fee your policy sets to the card on file. Depending on your plan and settings, you can also ask for prepayment at booking for some services.
That gives you two tools:
- Card on file. The client books, their card is saved and you charge a fee only if they break the policy.
- Payment up front. The client pays part or all of the service when they book, so the money is already in your account.
They work differently, and the difference matters.
Card on file vs. money up front
Card-on-file feels friendlier. The client pays nothing until the appointment, which is great for regulars with a good track record.
The weak spot is collecting after the fact. Barbers on r/Barber describe the same frustration: a brand-new client no-shows, the barber goes to charge the card and it declines. Now you have a policy, an empty chair and nothing to show for it.
Money up front avoids that because it's collected before the slot is held. That's why many pros use a mix:
- Regulars: card on file, no-show fee only
- New clients: a deposit at booking, applied to the total
- Long or premium services (color, extensions, braids, full sets, lash sets): a larger deposit
- Anyone who has already no-showed: prepay to rebook
How to set it up so it holds
1. Write a short, specific policy. Vague policies get argued. Spell out the notice window, the fee and what counts as a no-show:
"Please give 24 hours' notice to cancel or reschedule. Late cancellations are charged 50% of the service. No-shows are charged in full. Arriving more than 15 minutes late may mean we reschedule."
2. Make clients agree to it at booking. Turn the policy on in Square Appointments so online bookers see it and save a card before they confirm.
3. Put the policy in more than one place. Your booking page, the confirmation and the reminder. If a client sees it three times, they can't credibly say they didn't know.
4. Send reminders with an easy way out. A reminder a day or two before, with a simple way to reschedule, turns ghosts into cancellations. You can fill a cancellation. You can't fill a no-show.
5. Enforce it the same way every time. The exact numbers matter less than being consistent. Give a regular a one-time pass if you like, but say so: "I waived it this time. Next time the policy applies."
The gap: bookings that don't go through online booking
This is the part most pros miss. Square's online booking flow asks for the card or payment. Bookings you make by hand don't go through that flow. When a client:
- calls the shop,
- texts you,
- DMs you on Instagram, or
- asks for a time while they're in your chair,
and you add them to the calendar yourself, the client never sees the policy screen or enters a card. The slot is held on a promise.
For a lot of shops that's a big share of bookings, especially new clients who found you on Google Maps and tapped "Call."
Closing the gap by hand
If you book phone and text clients yourself, give them the same protection as online:
- Send your booking link instead of booking for them. "Grab any open time here, the policy is on the page." That puts them through the same flow.
- Or send a payment link for the deposit. Square lets you create a payment link for a set amount. Text it with the time and the policy, and don't treat the slot as booked until it's paid.
- Set a short deadline. If the deposit isn't paid within a few minutes, the time goes back on the book.
Sample text:
"I can do Friday 11:00 for a full set. Pay the $25 deposit here to lock it in: [link]. It comes off your total. 24 hrs notice to cancel or reschedule. The time opens back up if it's not paid in 15 minutes."
The only problem is you. You have to send it, check it and release the slot when it isn't paid, usually while you're working on someone else.
Closing the gap without stopping your work
This is what AyoCosmo does. An AyoCosmo agent answers your shop's line when you can't, books from your real Square services, prices and openings, and texts the caller a Square deposit link. The link is good for 15 minutes, and nothing books until the deposit is paid. If it isn't paid, the time stays open.
Phone bookings get the same protection as online bookings, and you never have to put the clippers, brush or tweezers down.
What to do after a no-show
- Charge the fee or keep the deposit. Your policy already covers it.
- Send one friendly message within a day: "Missed you today, want to get you rebooked? Per my policy I'll need a deposit to hold the next one."
- Flag the client so their next booking requires prepayment.
- Don't argue in DMs. Point to the policy they agreed to and leave it there.
Quick checklist
- Cancellation policy turned on in Square Appointments
- Card or deposit required for online bookings
- Deposits for new clients and long services
- Policy in your booking page, confirmation and reminder
- Phone, text and DM bookings sent a booking link or deposit link
- A prepay rule for repeat no-shows
The bottom line
Square's no-show protection is worth turning on, but it only covers bookings that go through Square's online booking. Every booking you add by hand skips it unless you close the gap yourself, with a link sent by text or an agent that answers your line and takes the deposit for you.
